You have been directed to this page because you may have been asked by your school to complete a questionnaire about your wellbeing. It is important for us at Schoolmait.com, to ensure that you have a clear understanding of how we use, store and share the information you provide through our wellbeing questionnaire.
- We would like to assure you that although the questionnaire is not anonymous, we only collect the minimum amount of personal information. For instance, we do not require you to provide your full name but instead ask you to use an alias.
- We only share information that contains your alias with school staff for the purpose of supporting your academic progress. Our employees may access the information you provide, but they are unable to identify you as an individual based on the data you provide.
- We may use artificial intelligence (AI) such as to analyze responses and generate wellbeing insights. Any AI-generated content will be clearly labeled to ensure transparency.
- We take strong measures to protect the confidentiality of your information and prevent unauthorised access.
- We may use some of the data you provide for other purposes, such as research, which can benefit other students over time. However, we ensure that any data shared is made anonymous so that it cannot be traced back to you as an individual.

We are committed to collecting data fairly, storing it no longer than reasonably needed, keeping it secure, and being transparent about it, in compliance with the EU Data Act and other applicable laws. - Customers as entities (clients, partners or schools) and the persons represent those entities who have login credentials to access data.
- Administrators as employees of our Customers who have login credentials to manage a Customer account.
- Participants (teachers, students and parents) as individuals who access our website to answer questionnaires.
- Visitors as any person who visits our website.

What data do we collect?
Our Company collects the following data:
- Contact information. When you provide us with your contact information, whether through the use of our services, creation of an account, a form on our website, or an interaction with our team, we collect your contact information. This information may include, for example, your name, job title and email address.
- Usage information. We collect usage data about you whenever you interact with our Services. This may include which web pages you visit, what you click on when you performed those actions, and other activities.
- Device and browser data. We collect data from the device you use to access our Services, such as your IP address, operating system, browser details, and time of visit. This information may also tell us your location.

- School information. If your are representing a school, we may collect from you information about your School, such as: School name and location, contact information of school team, and other account registration related details.
- Questionnaire settings. If your are representing a school, we may collect from you information related to each survey conducted such as survey dates, and other questionnaire preference details.
- Sensitive information. If you are a Participant, we collect a student alias as provided by the school. We do not collect information about your full name. Your school may provide us with personal details, such as demographic or academic information, for research purposes. We are committed to anonymizing this data to ensure your individual identity remains protected and cannot be traced.
- Questionnaire data. If you are a Participant, we will collect and store your questionnaire responses unless you ask us to remove them by contacting us through this form.
- Billing details. If you use a credit card for billing, our credit card processor may collect information such as the cardholder’s name, billing address, email address, credit card number, expiry date, and credit card security code.
How do we collect your data?
You directly provide Our Company with most of the data we collect. We collect data and process data when you:
- Register online or place an order for any of our services.
- Complete a wellbeing questionnaire on our website.
- Interact with us on our website, for example when you complete any of our forms
- Interact with us on other platforms such as on social media or via email.

- If you are a Student, we may also collect information about you from Teachers and Parents via our questionnaires.
- If you are a School, we may collect publicly available data

How will we use your data?
Our Company collects your data so that we can:
- If you are representing a school or an Administrator, we may use your data to provide you with our services, such us setting up and managing your account, and processing your orders. We may also use your data to contact you about the services or your account.
- With your consent, we may use your data also to email you with special offers on other products and services we think you might like. You have the right at any time to ask us to stop contacting you for marketing purposes.
- If you are a Student, we use your data to provide your School with questionnaire answers, analysis and results.
- We may share data with external entities, such as for research purposes, and take the necessary steps to anonymize the data prior to sharing it.
- We may use artificial intelligence (AI) and machine learning technologies to assist in summarizing insights, identifying trends, and generating reports for schools, or other activities. Any text, summary, or report generated using AI will be clearly marked as AI-generated. Schools and administrators will be informed when AI has played a role in producing insights.
- We may use your data to monitor, maintain, and improve our services, or to create new services.
- When we process a Customer’s order, we may send your data to, and also use the resulting information from, credit reference agencies to prevent fraudulent purchases.
- With your consent, we may display Customer or Participant testimonials on our websites. If you wish to update or delete your testimonial or any other endorsement, please contact us.
- As we continue to develop our business, we may use data you provided if we are engaged in a negotiation to merge, sell or finance our Company.
- In certain circumstances we may be required to share your data in order to comply with legal obligations.
How do we store your data?
Our Company securely stores your data at Amazon Web Services’ Frankfort data centre.
Our Company will keep questionnaire data including student alias and school name for up to 4 years. We may keep anonymised data to produce reports and share with third parties or for research purposes for indefinite time. No student or school will be identifiable in such reports.
We will retain other information for as long as is necessary to provide our services, or to comply with our legal obligations, resolve disputes, and enforce our legal rights.
What are your data protection rights?
Our Company would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:
- The right to access - You have the right to request Our Company for copies of your personal data. We may charge you a small fee for this service.
- The right to rectification - You have the right to request that Our Company correct any information you believe is inaccurate. You also have the right to request Our Company to complete information you believe is incomplete.
- The right to erasure - You have the right to request that Our Company erase your personal data, under certain conditions.
